British American Tobacco – Logistics Coordinator (Work At Dong Nai – Temp 9 Months)

What You Will Do

I. Business
This accountability area puts an emphasis on results within an individual job/department/function business unit. These include the job’s contribution to the business financial results; growing volume, share, profit, cash flow and other hard measures of success.

– Import/Export logistic:
• Work closely with the coordinators from key stakeholders (BATM(S), Customer, shippers, Customs, shipping lines, couriers…) to ensure smooth handling of all material shipments for production and export within set time limits
• Optimize the free demurrage charges period to facilitate warehousing at BAT sides and avoid occurred cost for CRT export
• Timely feedback to stakeholders if there is issue of goods. Coordinate with BATMS, law agent and insurance company for investigation and follow up damaged claiming processes.
• Follow up on order place, expedite delay delivery as per Materials Requirement Planning
• Communicate in timely manners with suppliers global, regional and local.
• To lead and drive the continual evaluation of material inventory holding target and custom regulation, with assessments on logistic risks.

– Customs clearance/declaration services:
• To ensure accuracy of information related to imports versus approved quota by proper documentation & frequent cross checks for actual figures
• To ensure 100% accuracy of tax declaration for import / export shipments
• Follow liquidation process and tax refund for material using in export.
• Processes necessary document to bring the leaf from landed port to bonded warehouse then from bonded warehouse to PMD factory when required.
• Work closely with Customs from both Hochiminh City ports (for DIET importation) and DongNai ports (for other leaf grades) to timely clear the goods for production and CRT Export

– CRT Delivery to customers:
• Work closely with BATMS, Customer, Shipping lines, transportation companies to ensure CRT timely delivery to customers sides as planned
• Review the delivery & shipping plan to optimize the transportation cost and reduce un-necessary demurrage charges.

– Administration:
• Follow up with Forwarder for leaf import flow and CRT export flow by monitoring the progress and timely update to management to avoid any surprise and meet the payment term under model CRT production for export to BATMS and SMD JV
• Quarterly report to MOIT the actual imported leaf for CRT production export versus the approved quota.
• Monitor and report the CRT shipment status to internal team
• Manage the STO (Intercompany) in SAP for leaf movement and CRT export
• Check and verify the payment to Forwarder
• Follow up contract with Supplier and Customer

– Leadership
• Build cross functional awareness & provide logistics assistance needed to any projects or team to ensure the highest quality of work.
• Evaluate performance of various external stakeholders & efficient reporting to management to drive for effective business decisions.
• Engage customers for better shipping plan which help to avoid cost for both sides.
– Management
• Manage the actuals leaf importation versus approved quota and timely report to management – especial at year end to optimize the cash-flow and quota utilization.
• Monitor & settle all related issues to ensure all imported shipments to be arrived the Company timely & ensure OTIF delivery for SMD JV as well as exported shipments.
• Join efforts with warehouse team and production planning to manage the inventory of materials to ensure no stock out situation and to fully utilize local warehouse capacity. Especial to maximize the usage of bonded warehouse and reduce ITT leaf at local warehouse as set target.
• Evaluate different options to propose to management to create opportunities for cost reduction & enhance productivity

– Relationships
• Maintain relationship with Production Planning, warehouse team, production team and finance team. Obtain a mutual agreement on working process
• Ensure good relationships with key external customers and suppliers to drive opportunities for improvement to processes & service in a collaborative manner.
• Maintain & leverage the relationship with Customs from both DongNai & Hochiminh city ports to support the goods clearance processes

– Innovation
• Propose creative inputs/ideas to improve system & work processes to deliver imported items
• Support bringing changes in work environment to contribute for faster, flexible & benchmark logistic services.

What You Are Good At

I. Other Knowledge, Skills and Experience
– Graduate in Foreign Trade with 4 year experience in Import – Export role in an FMCG company.
– Knowledge of local government & international law & procedures for international trade, Customs and Practice for Documentary Credits issued by International Chamber of Commerce (ICC), Customs Act, Import / Export Policy, Harmonised System (HS) Coding etc
– Good communication skills as the Job Holder will need to communicate regularly with external/internal parties.
– Strong sense of urgency and able to exercise good judgement as well as work independently
– Good inter-personal skills.

– Smooth and uninterrupted manufacturing operation by ensuring logistics services for continuous availability of imported tobacco & others items.
– Highlighting cost base / opportunities for cost reduction & improved productivity.
– Compliance with all regulatory requirements of the country as well as internationally to ensure smooth transition of goods and retain corporate reputation.
– Build and maintain well working relationships with internal and external parties especially customer, suppliers, shipping lines, forwarders to ensure company’s interests.
